A Strong Tender Response does more than Answer the Questions

Technically, you can answer every question in a tender and still submit a fairly ordinary response.

The difference is often in the evidence behind the answer.

If you tell an evaluator your business provides excellent service, has experienced people and takes quality seriously, they'll probably believe you.

Unfortunately, most of your competitors will be saying exactly the same thing.

A stronger response explains how you deliver excellent service. It shows why your people are experienced. It demonstrates what your quality systems look like in practice and provides examples, results and evidence to support the claims you make.

My job is to find those details — and make sure the evaluator doesn't have to go looking for them.

The First Answer is Rarely the Whole Answer

This is probably the most important part of how I work.

I ask questions.

Lots of questions.

A client might initially tell me:

“We have really experienced staff.”

Okay. How experienced?

“Most have been with us for years.”

How many years? What qualifications do they hold? What sort of contracts have they worked on? How do you train them? How do you retain them? What happens if somebody is unavailable?

And suddenly we've moved from “we have experienced staff” to something an evaluator can actually assess.

The same thing happens with systems, customer service, project experience, risk management, innovation and almost every other part of a tender.

The first answer gives me somewhere to start.

The follow-up questions are often where the good stuff is hiding.

Your tender should sound professional, but it should also sound credible.

If your business is practical and straightforward, the response should feel practical and straightforward. If your strength is technical expertise, we need to demonstrate that expertise. If your people, responsiveness or operational systems set you apart, those strengths should come through clearly.

I don't want an evaluator thinking:

“This is beautifully written.”

I'd much rather they think:

“These people understand what we need, they've done this before and I can see how they'll deliver it.”

The tender asks for a Business Continuity Plan.

You don't have one.

Or an Environmental Management Plan. A Modern Slavery Policy. A mobilisation plan. An organisational chart. A detailed case study. A project program. A risk register.

This happens all the time.

Where appropriate, TenderWise can also help develop the supporting plans, policies, schedules, case studies and other documentation required for the submission.

Because there's not much point writing a fabulous response telling the evaluator to “refer to our comprehensive Business Continuity Plan” if said comprehensive plan does not actually exist.


What I Don't Do

There are a few things worth being clear about.

I don't invent experience you don't have, results you haven't achieved or systems that don't exist.

I won't manufacture a differentiator because the tender says you need one.

And I won't tell you that professional tender writing can guarantee you'll win.

Tender outcomes can be influenced by price, competition, existing relationships, evaluation methodology, risk appetite and numerous other factors outside the written response.

What I can do is help make sure your submission clearly explains your capability, responds properly to the evaluation criteria and gives the evaluator the evidence they need to assess your business.

That's the part we can control.
